Our pilot coordination fee is 8% of confirmed providers’ service prices before tax, with a $20 minimum per activity. The fee basis includes required delivery and setup, after provider discounts. Taxes, optional tips and refundable security deposits are excluded. The minimum applies once to the activity, including when you add services or pay in stages.

Illustrative pilot pricing: $1,250 in provider services plus a $100 coordination fee totals $1,350 when no tax or tip applies. This is an arithmetic example, not an available package or market-price estimate. Your confirmed order shows the complete total, including mandatory taxes, with optional tips separately stated. Payment processing and the HapNex Guarantee expressly active for your booking are included in the coordination fee; there is no separate processing or Guarantee fee. Confirmed bookings keep their accepted pricing; cancellations and refunds follow the accepted agreement. Paid bookings remain pending payment, reserve and support activation.

Preparing the pilot: small workshops, networking events, meetups, gatherings, birthdays and parties in Medford, Somerville, Cambridge and Boston, ordinarily up to 100 guests. Larger or more complex events require written case approval. Venue-approved lawful security can be arranged by the venue or customer. Weddings, major ceremonies and high-risk activities remain outside this pilot.
